Job Description

Administrative Assistant – Agency Contract

Location: Bellevue, WA (Hybrid)

We are seeking a proactive and highly organized Administrative Assistant to support a fast-paced project team developing a new advanced manufacturing facility. This is a contract role through an agency.

The focus of the role is interview coordination and calendar support during a high-volume hiring phase, along with general administrative and project coordination tasks.

Key Responsibilities

  • Schedule and coordinate interviews across time zones and teams
  • Maintain project calendars and resolve scheduling conflicts
  • Track candidate progress and maintain interview documentation
  • Prepare meeting agendas, notes, and action logs
  • Coordinate onboarding logistics for new hires
  • Assist with document formatting, version control, and organization (e.g., SharePoint, Teams)
  • Provide light project coordination support (e.g., trackers, action item summaries)

Qualifications

  • 3+ years in administrative, recruiting coordination, or project support
  • Strong scheduling and calendar management skills
  • Proficiency with Microsoft Office, Teams, WebEx, and virtual collaboration tools
  • Excellent written and verbal communication
  • Strong attention to detail and ability to work independently
  • Experience in fast-paced or regulated environments (e.g., life sciences, engineering) is a plus
