Clinical Research Patient Recruitment Specialist

Location: West Palm Beach, FL (Hybrid: in-office, on the road/in the community, and remote after completing initial orientation and training)

Schedule: Full-time, 40 hours a week (Hybrid: 2 days in-office, 1 day on the road, 2 days remote)

Position Overview:

We are seeking an experienced Clinical Research Patient Recruitment Specialist to join our clinical research team, with a focus on enhancing recruitment efforts, improving patient retention, and supporting study operations. This hybrid role allows for a flexible work schedule while maintaining a strong connection to the clinical research process.

The ideal candidate will have prior exposure to clinical research, particularly in recruitment or patient-facing roles, and will be able to thrive in a fast-paced, metrics-driven environment. This is an ongoing need with room for growth, and the role includes performance-based incentives through a bonus structure.

Key Responsibilities:

Recruitment & Outreach:

  • Manage inbound patient inquiries from advertising campaigns, referrals, and site databases.
  • Conduct pre-screening calls to assess patient eligibility and schedule qualifying participants for screening visits.
  • Stay updated on actively recruiting protocols to provide accurate, detailed information to potential participants.
  • Maintain thorough documentation of pre-screening results and recruitment activities in CTMS (Clinical Trial Management System).
  • Support community outreach efforts , including attending events, physician networking, and building partnerships to expand recruitment sources.

Engagement & Retention:

  • Serve as the primary point of contact for participants, guiding them from the initial inquiry through study completion.
  • Provide proactive communication (calls, texts, emails) to reduce no-shows and prevent dropouts.
  • Assist with patient logistics , including visit reminders, transportation coordination, and follow-up scheduling.
  • Collaborate with CRCs (Clinical Research Coordinators) and Principal Investigators (PIs) to address participant concerns and ensure adherence to study schedules.

Database & Metrics Management:

  • Track and manage recruitment metrics , including response rates, show rates, and screen-fail rates.
  • Maintain organized records of recruitment campaigns and outcomes for leadership reporting.
  • Provide weekly performance updates on recruitment efforts, identifying barriers and proposing solutions to improve metrics.

Collaboration & Continuous Improvement:

  • Collaborate with marketing and site leadership to optimize recruitment strategies, using real-time data and feedback.
  • Identify trends in patient interest, feedback , and screen failures to inform protocol feasibility discussions and improve recruitment tactics.
  • Participate in training sessions and staff meetings to stay aligned with team and site goals, fostering continuous improvement.

Requirements:

  • Prior exposure to clinical research (experience in recruitment, patient engagement, or similar roles preferred).
  • Familiarity with clinical trial processes and a general understanding of recruitment methods.
  • Ability to work in a flexible, hybrid environment while meeting performance metrics and targets.
  • Strong communication skills (phone, email, text) and ability to engage with participants proactively.
  • Organizational skills with a keen attention to detail and ability to track and manage multiple recruitment efforts simultaneously.
  • Must be willing to travel up to 1 day a week within an hour from the office.

Work Environment:

  • Hybrid schedule with 2 days in the office, 1 day on the road , and 2 days working from home (after completing initial orientation and training).
  • Bonus structure based on meeting recruitment targets; eligibility begins after the first 30 days.
