Job Description

Seeking an organized, creative, and people-oriented Executive Administrative Assistant to support 2 high level executives and their department operations at a global technology client.

This is a hybrid position, with 3 days on site in Alpharetta, GA required. This contract opportunity is long term/open ended, with conversion to a FTE for a great candidate, with room for professional growth within the company.

Strong calendar management experience, organization skills, and executive level communication experience would make someone a well-qualified candidate.

Position Summary:

  • Prepare memos, invoices letters, and other documents.
  • Answer phones and routing calls to the correct person or taking messages.
  • Handle basic bookkeeping and expense reporting tasks.
  • File/retrieve corporate records, documents, and reports.
  • Research and conduct data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Help prepare for meetings, and accurately document communication and meeting notes.
  • Decision making and adequately gatekeeping executive calendars.
  • Fluent with using or learning new software platforms
  • Read/analyze incoming memos, submissions, and distributing them as needed.
  • Make travel arrangements for executives.
  • Perform office duties that include ordering supplies and managing a records database.
  • Provide general administrative support.

Qualifications

  • Experience supporting Senior level executives (VP/SVP level)
  • Background in the service industry or in project coordination would be excellent for transferrable skills
  • 4+ years of experience with administrative support for senior leadership, including calendar management and coordinating travel arrangements
  • Fluent with use of Microsoft office and Sharepoint
  • Experience using Confluence, Ariba, and Concur are a plus
  • Strong written and verbal corporate communication skills, strong decision making skills
