Elite Executive Assistant to the CEO (High-Velocity Role)

Newport, KY • Hybrid • Part-Time (20–30 hrs)

Emboss Design is hiring an Executive Assistant + Operations Coordinator who is lightning fast, highly intuitive, and capable of operating in a state of constant triage without losing accuracy or composure. Think Donna from Suits with the metabolism of a startup operator.

This is not a traditional admin role — it's a hybrid of EA, operations, and business development coordination supporting a CEO who moves quickly, thinks strategically, and requires excellence.

You must love solving problems, pivoting priorities, and keeping a high-performance executive and firm moving.

This role is for someone built for speed , naturally decisive, and energized — not overwhelmed — by urgency.

The CEO of Emboss moves at 150 miles per hour . She leads a high-design architecture and interior design firm, juggles dozens of active projects, and makes major decisions daily.

She needs a true right hand who can:

  • anticipate problems before they occur,
  • manage both personal and professional life logistics,
  • and execute without waiting for direction.

This is not a traditional administrative role.

This is the job for someone who wants to run the CEO’s world like a mission-critical operation .

What You Will Do

Executive Support

  • Own and protect the CEO’s calendar with precision
  • Manage inbox flow, communications, follow-ups, and commitments
  • Prep the CEO for meetings, presentations, travel, and deadlines
  • Anticipate needs and make decisions independently
  • Keep priorities clear when the volume gets high

Operations & Project Support

  • Keep multiple project threads moving simultaneously
  • Adapt instantly when priorities shift (often hourly)
  • Implement AI tools and new systems to increase speed + accuracy
  • Draft summaries, documents, RFP prep, and weekly coordination
  • Create order instantly — not eventually

Business Development Coordination

  • Schedule BD meetings, follow-ups, and keep the pipeline organized
  • Support RFP submissions, deadlines, and proposal logistics
  • Ensure nothing slips through the cracks in the sales cycle
  • Prep talking points and materials for the CEO ahead of BD conversations

Personal & Household Coordination

  • Manage appointments, errands, logistics, and weekly home tasks
  • Oversee home services, deliveries, vendors
  • Handle personal items with the same precision as work tasks
  • Create household systems that reduce mental load

$35–$55/hour depending on experience + performance.
