Job Description

LHH is partnering with a reputable organization to find a proactive and detail-oriented Executive Assistant. This role is ideal for someone who thrives in a fast-paced environment supporting multiple executives and contributing to high-level operations and strategic initiatives. Key Responsibilities:

  • Provide day-to-day administrative support to a team of senior professionals, including calendar management, meeting planning, and travel coordination
  • Prepare presentations, reports, and confidential correspondence
  • Assist with departmental logistics such as ordering supplies, event planning, lunch coordination, and supporting internal team meetings
  • Maintain records of important documents, licenses, and credentials, and manage renewal deadlines
  • Conduct market and demographic research using online tools, mapping software, and internal databases
  • Support client-facing materials such as proposals, visual documents, and committee packets
  • Coordinate logistics for off-site meetings and site visits, including assembling informational packets and interfacing with external vendors
  • Assist with internal and external communications, including follow-ups and confirmations
  • Track and process expense reports, commission invoices, and department budgets
  • Provide occasional back-up to front desk reception as needed

Required Skills & Experience:

  • 5+ years of experience in executive or administrative support roles
  • Excellent organizational and time management skills with the ability to juggle multiple priorities
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with document editing tools and mapping or demographic software a plus (Photoshop, Publisher, Snagit, or Google Earth experience preferred)
  • Associate’s degree required; Bachelor’s degree preferred
  • Experience supporting teams in real estate, commercial development, or professional services industries is a plus

Additional Details:

  • Full-time, exempt role
  • Standard business hours, Monday–Friday, with occasional overtime as needed
  • Onsite/in-office role with limited travel required
  • Must be comfortable handling confidential materials and client-facing communications
