As they continue to expand, they are building a strong operational foundation to support our legal, compliance, and regulatory functions.

Position Overview

Our client is seeking a highly organized and detail-oriented Legal Operations Associate to join their team. In this vital role, you will serve as the operational hub for the legal and compliance workflows, helping ensure that company activities align with regulatory and legal requirements. *Candidates must be located in the Eastern Time Zone.*

Key Responsibilities

Legal Coordination & Support

  • Serve as the internal point of contact for legal intake, triage, and document organization.
  • Track and maintain logs for legal matters, requests, and deadlines.
  • Organize and prepare background materials, summaries, and supporting documentation for outside counsel.
  • Assist with implementing internal legal and compliance policies developed with counsel.

Patient Complaint & Issue Management

  • Receive, document, and route patient complaints and provider concerns in accordance with established workflows.
  • Collaborate with internal teams to resolve issues or escalate to outside counsel when appropriate.
  • Track complaint progress and prepare summaries or trend reports for leadership review.

Project & Workflow Management

  • Support cross-functional legal and compliance projects, including policy updates, contract repository improvements, and documentation standardization.
  • Maintain accurate and accessible records, ensuring audit readiness and consistent documentation practices.

Cross-Functional Collaboration

  • Partner with departments such as Operations, Clinical Leadership, HR, and Finance to gather information related to legal or compliance matters.
  • Act as a liaison between internal teams and outside counsel to ensure issues are clearly defined and efficiently managed.
  • Prepare meeting agendas, maintain action trackers, and assist with follow-up on open items.

Compliance & Documentation Support

  • Collect, organize, and maintain documentation needed for regulatory, licensing, or compliance reviews.
  • Help ensure internal teams adhere to established legal and compliance workflows.
  • Maintain and update company legal templates, policies, and reference materials.

Qualifications

Required:

  • 2+ years of experience in legal operations, paralegal work, compliance, or a similar administrative/project management role.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities with discretion and professionalism.
  • Comfortable working independently and collaboratively in a fast-paced environment.

Preferred:

  • Experience in healthcare, telehealth, or another regulated industry.
  • Familiarity with HIPAA, healthcare compliance, or patient incident management.
  • Experience coordinating with outside counsel or legal advisors.
  • Proficiency with project management, CRM, or legal tracking tools.
