Job Title: Office Administrator
Salary: $25/hr+
Location: Oregon City, OR
Type: Full-Time | Direct Hire | On-Site
A locally owned and privately held agency based in Oregon City, OR is seeking a dedicated and detail-oriented Office Administrator to support operations that serve individuals with intellectual and developmental disabilities (IDD). This role is ideal for candidates with at least two years of office experience who are passionate about making a meaningful impact through organized, behind-the-scenes support.
Responsibilities:
- Welcoming visitors and directing them to the relevant office/personnel.
- Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations.
- Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.
- Performing light bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.
- Review daily documentation-including notes, timecards, and related records-to ensure accuracy, completeness, and compliance with company standards.
- Maintaining general office files, including job files, vendor files, and other files related to the company's operations.
- Purchasing office supplies, equipment, and furniture.
- Overseeing the maintenance of office facilities, and equipment.
- Performing other relevant duties when needed.
Requirements:
- Administrative experience
- Ability to interface with all levels of the organization
- Excellent and demonstrated oral and written communication skills
- Highly effective organization skills
- Confidence in navigating digital tools and platforms with a curiosity to learn new systems.
- Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Outlook and operating a multi-line phone system
- Familiarity with WellSky, Paychex, eXPRS, Dropbox, Jotform, and Monday.com a plus!
- Proven customer service orientation
- Ability to work independently and as a supportive, contributing team member
