Job Description

A senior administrative assistant provides high-level support to executives or departments by managing schedules, coordinating meetings, handling confidential documents, and overseeing administrative operations to ensure smooth workflow. They may also mentor junior staff, manage office communications, and liaise with internal and external stakeholders.

NOTE - This role is TEMPORARY to start

Key Responsibilities:

  • Executive Support: Managing calendars, scheduling meetings, arranging travel, and handling correspondence for senior-level staff.
  • Office Management: Overseeing day-to-day operations, managing office supplies, and maintaining filing systems.
  • Communication & Coordination: Acting as a point of contact for internal and external stakeholders, ensuring clear communication and efficient information flow.
  • Project Support: Assisting with special projects, preparing reports, and potentially supervising other administrative staff.
  • Confidentiality: Handling sensitive and confidential information with discretion.
  • Problem-Solving: Addressing issues that arise and finding solutions to ensure smooth operations.

Required Skills and Qualifications:

  • Proven experience as an administrative assistant, preferably in a senior-level or executive support position.
  • Proficiency in office management software, MS Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant tools.
  • Strong organizational, time management, communication, and problem-solving skills.
  • The ability to guide and mentor junior staff (in some cases).
  • Ability to migrate content to SharePoint/intranet and new city website
